This is the expert-level checklist our team uses when we vet a new property. It goes far beyond square footage and aesthetics. This is the playbook that ensures a space isn’t just impressive, but flawlessly functional.
1. The Support Ecosystem: Where Does Everyone Go?
The main stage is only half the story. A production is a small army that needs a base of operations. We look for a complete support ecosystem:
A dedicated green room or VIP lounge for talent and clients.
A separate production office for the AD and coordinators.
Sufficient space for hair, makeup, and wardrobe departments.
A designated area for catering that is separate from the set.
Ample, secure crew parking. A venue without these support spaces forces a production to rent costly trailers and manage a scattered footprint.
2. The Art of the Load-In: Can You Get In and Out?
The most beautiful space in the world is worthless if you can't get your equipment inside. We analyze every aspect of access: Can a 5-ton grip truck make the turn into the driveway? Are there ground-level rollup doors or, even better, a dock-high loading bay? Are there freight elevators for multi-story venues? A difficult load-in can cost you hours of precious shoot time and thousands in crew overtime before a single shot is fired.
3. Controlling the Soundscape: What Can You Actually Hear?
For any shoot involving dialogue, sound is paramount. We don’t just listen for street traffic; we listen for the "unseen" noise. Is the HVAC system whisper-quiet, or does it roar to life every 15 minutes, ruining takes? Is the venue directly under a major flight path? Are the walls properly insulated, or can you hear the business next door? A noisy location can lead to costly ADR (Automated Dialogue Replacement) in post-production. 4. The Light Equation: Can You Shape It or Kill It?
Light is a director of photography's primary tool. We assess a venue's "light control." Do the beautiful industrial windows have a practical way to be blacked out for a controlled night scene, or will it require a massive and expensive rigging job? Conversely, is the natural light high-quality and consistent throughout the day? A great venue offers options, allowing a DP to create any look they need, from sun-drenched to pitch black.
5. The Power Grid: Is It Built for Production?
A standard outlet won’t cut it. We look for robust, 3-phase power—often hundreds or even thousands of amps—that can handle the immense load of professional lighting, cameras, catering equipment, and HVAC running simultaneously without tripping a single breaker. A great venue has dedicated company switches and a distribution system that a gaffer can easily tie into. Without this, you’re dead in the water.
6. Floor Load Capacity: Can It Handle the Weight?
This is a critical safety and logistical question. Can the floor support the weight of a scissor lift for rigging lights? Can you drive a car onto it for a commercial shoot? Can it safely handle the dynamic load of 300 guests dancing at a brand activation? We verify the floor's load-bearing capacity to ensure it can safely handle the creative demands of the project.
7. HVAC & Climate Control: Can You Keep Your Cool?
Separate from sound, this is about functional climate control. A warehouse in August can become an oven under the heat of film lights. We ensure the venue has a powerful and, crucially, controllable HVAC system. This isn't just about keeping talent and crew comfortable; it's about preventing sensitive camera equipment from overheating and ensuring a stable environment.
8. Digital Infrastructure: Is It Connected?
In today's world, this is non-negotiable. Is there reliable, high-speed Wi-Fi that can support the entire crew? Are there cellular dead zones within the space? Is there an option for a hardline ethernet connection for a live-streaming event? A production grinds to a halt without stable connectivity for communication, data transfer, and client feedback.
9. Neighborhood & Permitting: Will You Be Shut Down?
We do our homework on the neighborhood. Are there noise ordinances or strict curfews that could shut down an evening event or night shoot? Are the neighbors "film-friendly," or are they known to complain? Understanding the local permitting process and community landscape is essential to preventing costly delays or, in the worst-case scenario, a complete shutdown.
10. The 'X-Factor': The Story of the Space
Finally, after a property passes every technical test, we look for its character. Does it have a unique history? A texture on the walls that can't be faked? A view that takes your breath away? This is the unquantifiable element that elevates a scene or an event from good to unforgettable. It’s the story and soul of the space itself.
